Cancellation and Refund Policy

Peak Season Custom Program Deposit/Cancellation Policy

(June 15 - August 31): A 50% deposit is non-refundable and due within thirty days from the reservation date. The balance of program is due 90 days prior to arrival. GI reserves the right to require a minimum number of people to partake in custom program reserved. If the number of program participants drops below 75% of the original number reserved, GI may add an additional fee to the group. Damage done to facilities or equipment by a member of the group must be reported immediately, is the responsibility of the contracting group and will be billed to same. Cancellation 90 days prior to course date will receive a refund less a 25% administrative fee. No refunds will be made for cancellations received less than 90 days prior to the custom program start date. Payment of deposit indicates agreement to the above conditions. In the event the program changes due to circumstances beyond our control, the responsible party will be notified.

Shoulder Season Custom Program Deposit/Cancellation Policy

(September 1 through June 14): A 25% deposit is non-refundable and due within thirty days from the reservation date. The balance of program is due 30 days prior to arrival. GI reserves the right to require a minimum number of people to partake in custom program reserved. If the number of program participants drops below 75% of the original number reserved, The GI may add an additional fee to the group. Damage done to our facilities or equipment by a member of the group must be reported immediately, is the responsibility of the contracting group and will be billed to same. Cancellation 30 days prior to course date will receive a refund less a 25% administrative fee. No refunds will be made for cancellations received less than 30 days prior to the custom program start date. Payment of deposit indicates agreement to the above conditions. In the event the program changes due to circumstances beyond our control, the responsible party will be notified.

Big Creek Discovery School Deposit/Cancellation Policy:

A 25% deposit is non-refundable and due upon receipt of this invoice. The program is reserved after the deposit is paid. The full amount is due 2 week before the arrival date. The number of participants you register is the minimum number you will be charged for unless you notify us at least 2 weeks prior to arrival date. Please contact us to add participants to ensure we plan accordingly for staff and meals. Any damage done to our facilities or equipment by a member of your group is the responsibility of the contracting group and will be billed to same. Any additional charges will be billed after your visit to Big Creek to account for changes (added participants, programs, etc.) incurred during your program.

Course Catalog and General Information Sheet Adult Field Courses and Youth Science Adventure Camps Cancellation Policy:

Payment in full is due upon booking of adult courses and youth camps. Cancellation at least 30 days prior to the course/camp date, will receive a full refund less a 25% administrative fee (per person). No refunds will be made for cancellations received less than 30 days prior to the course start date. If The Glacier Institute must cancel a course/camp due to low enrollment, students will be notified one week prior to scheduled date and The Glacier Institute will issue a full refund. Courses are not cancelled due to weather.
